File Match
Why must every tuned file say what work it does?
A tuned file with no work named is never sent by itself. How the portal reads work from file names, what happens to a file with none, and how to fix old files.
In short
Because the portal can only send a file by itself if it knows the file does exactly what was ordered. A tuned file with no work named is still kept and offered to your tuners, but it never goes out alone.
Picture a folder with a file called golf_final_v2.bin. You know what it does. Your new tuner might. A portal cannot. And the one thing that must never happen is a customer getting a file that does something other than they paid for. So in your library, the work on a tuned file is not a note. It is what File Match sends on.
How does the portal know what a tuned file does?
From three places, depending on how the file got there.
- A finished job. It is filed under what your tuner said the file does, and if they said nothing, under what the customer ordered.
- An import. It reads words in the file name against your portal's own list of work. It does not read folder names, and a customer choice such as "No tuning" is not counted.
- A WinOLS project. It uses each version's name when the project's records add up, as the WinOLS post explains.
When your tuner uploads a file on a job, the portal can ask "What does this file do?". Answering takes seconds and pays you back every time that read returns.
What happens to a tuned file with nothing named?
It goes in. The import screen says so plainly: nothing ticked means it is offered on the same original and never sent by itself. Your tuners still see it, and can download it.
How do I name it later?
The easiest way happens by itself. When a job with the same original comes in, the unnamed file appears on the job with a button: "It does what was ordered, Confirm and send". When your tuner presses Confirm and send, the file is named with that job's work. From then on the same read for the same work can go out by itself.
So you do not have to clear years of old files in one go. Name the ones you can at import, and let real jobs name the rest.
What if a job has more than one kind of work?
All of it must be named. If your price list has a service made of several kinds of work, a file name has to mention all of them to count as that service. A tuned file that does only some of the order is offered to a tuner, and is not sent. How File Match decides has the table.
How should I name files from now on?
Use the same words as your price list, in the same spelling, on every file. Stage1 and stage 1 can both be fine if your list understands them, but a private shorthand is not. A good test: give a stranger the file name and your price list, and see if they can tell you what the file does.
It helps people as well as the portal. A clean library is what makes your repeat work worth counting, and it means your best tuner's work does not leave when they do.
What if the same original has two tuned files for one job?
Your library keeps one tuned file per kind of work on an original. A second one for the same work is not added at import, so check the one you want is in first. A correction your tuner makes on the job that owns the file replaces the file on the shelf.
Questions
Does the customer see the work name?
They see the work they ordered on their job. The record on the tuned file is for your portal and your team.
Can I add my own kinds of work?
Yes. The list comes from your own portal's services, which is what file names are read against.
What if a file is named wrongly?
Correct it in your library. Until then File Match treats it as doing what it says, so check in Simulate before you go live.
